Overview

The Donor Merge page allows you to safely combine two duplicate donor records into one. This is essential for maintaining accurate giving histories and preventing duplicate tax receipts. The merge process follows a three-step workflow: select the source and target donors, preview what will be merged, then confirm the merge.

Donor Selection

FieldTypeDescription
Source Donor Search*AutocompleteSearch for the duplicate donor that will be merged away. All transactions from this donor will be moved to the target. This record will be archived after merge.
Target Donor Search*AutocompleteSearch for the donor record that will be kept. This is the surviving record that receives all transactions.

Merge Preview

Source Donor NameTextName and details of the donor being merged away.
Target Donor NameTextName and details of the surviving donor.
Transaction CountNumberNumber of transactions that will be transferred from source to target.
Total AmountCurrency (CAD)Sum of all transactions being moved.
Pledge CountNumberNumber of pledges that will be transferred.
Recurring SchedulesNumberNumber of recurring giving schedules that will be transferred.
StatementsNumberNumber of statements associated with the source donor.

Actions

Merge Two Donors

  1. Search for the source donor (the duplicate) in the left search box
  2. Select the donor from the dropdown results
  3. Search for the target donor (the one to keep) in the right search box
  4. Select the target donor from the dropdown results
  5. Click “Preview Merge” to see what will be transferred
  6. Review the preview carefully — verify transaction counts, amounts, and associated records
  7. Click “Confirm Merge”
  8. Type the confirmation text if required
  9. All transactions, pledges, recurring schedules, and other records are moved from source to target
  10. The source donor record is archived (not permanently deleted)
