Overview

The Absence Alerts page helps pastoral staff track members who have missed consecutive Sunday services. Alerts are generated automatically by a weekly scan (Monday at 7am) and can be filtered, assigned to care staff, snoozed, or resolved. The page supports bulk operations for efficiently managing large numbers of alerts.

The system generates an alert when a member misses a configurable number of consecutive services (default: 2). Each alert shows the member's attendance sparkline, membership status, last attended date, and how many services they have missed.

Fields & Controls

Status Tabs

FieldTypeDescription
ActiveFilter tabNew alerts that have not been assigned or actioned. Shows the count of active alerts.
AssignedFilter tabAlerts that have been assigned to a care staff member. Shows the count of assigned alerts.
SnoozedFilter tabAlerts that have been temporarily snoozed until a future date. Shows the count of snoozed alerts.
ResolvedFilter tabAlerts that have been marked as resolved. Shows the count of resolved alerts.
AllFilter tabShows all alerts regardless of status.

Filters and Sorting

Campus FilterDropdownA local campus selector that filters alerts to a specific campus. Works alongside the global campus selector.
Sort ByDropdownSort alerts by: Most Missed (default, highest missed count first), Most Recent, or Name A-Z.
Minimum MissedFilterFilter to show only alerts with a minimum number of missed services.
Bulk SelectCheckboxesSelect multiple alerts for bulk assignment. A "Select All" checkbox is available in the header.

Alert Row

AvatarDisplayColoured circle with the member's initials.
NameDisplayMember name in "Last, First" format.
Membership BadgeBadgeMember (green), Regular (blue), or Visitor (amber) based on the donor's membership status.
Missed Count BadgeBadgeNumber of consecutive services missed. Colour escalates: amber (2), light red (3), red (4+).
SparklineChartA 6-bar mini chart showing recent attendance pattern. Green bars indicate attended services, red bars indicate missed services.
Last AttendedDisplayThe date and service name of the member's most recent attendance.
Status LabelDisplay"New alert" for active, the assignee name for assigned, "Snoozed" for snoozed, or "Resolved" for resolved.
Status ChipBadgeACTIVE (red), ASSIGNED (teal), SNOOZED (gray), RESOLVED (green).

Actions

Assign an Alert

  1. Click on an alert row to open the detail drawer, or click the assign action button
  2. A modal opens with a dropdown of care staff members (scoped to the alert's campus)
  3. Select a care staff member to assign the follow-up to
  4. Optionally add a note
  5. Click “Assign” to save — the alert status changes to ASSIGNED

Bulk Assign Alerts

  1. Select multiple alerts using the checkboxes on each row
  2. Click the “Bulk Assign” button that appears in the header
  3. Select a care staff member from the dropdown
  4. Optionally add a note
  5. Click “Assign All” to assign all selected alerts at once

Snooze an Alert

Click Snooze on an alert to temporarily hide it until a specified future date. Snoozed alerts appear in the Snoozed tab with their snooze-until date.

Dismiss an Alert

Click Dismiss to mark an alert as dismissed. This indicates the alert was reviewed but no action is needed (e.g., the member is on vacation).

Resolve an Alert

Click Resolve to mark an alert as resolved. This indicates that follow-up has been completed and the pastoral concern is addressed.

Run Manual Scan (SUPER_ADMIN only)

Click the Run Scan button in the header to manually trigger the absence alert scan. This is normally run automatically every Monday at 7am, but can be triggered manually for testing or when alerts need to be updated immediately.
