Overview

The Service Record Detail page is the canonical view for a single service instance. It combines attendance data, service lifecycle management, order of service, giving summaries, and volunteer slot information in a unified command centre. This is the page pastors and administrators use to review a service after it has been completed, or to manage a service while it is active.

FieldTypeDescription
Service TitleDisplayThe service name derived from the pattern name (e.g., "Sunday Morning"). Raw date-based titles are cleaned to show the pattern name.
Date & TimeDisplayFull date (weekday, month, day, year) and time displayed in the tenant timezone.
CampusDisplayThe campus where the service was held.
Status BadgeBadgeACTIVE (with pulsing indicator), COMPLETED, SCHEDULED, or CANCELLED.
Lifecycle ActionsDropdownStatus transition buttons. Available actions depend on the current status (see Actions below).

KPI Cards

FieldTypeDescription
Total AttendanceKPI cardCombined count of adults and children (from both individual check-ins and headcount records). Shows the breakdown (e.g., "142 adults, 38 children").
AdultsKPI cardCount of adult attendees (individual check-ins plus headcount adults).
ChildrenKPI cardCount of child attendees with percentage of total attendance.
First-Time VisitorsKPI cardCount of attendees with VISITOR membership status. Shows "Follow-up needed" if any visitors are present.

Attendee List (Attendance Tab)

Filter ChipsFilterFilter the attendee list by: All, Adults only, or Children only.
SearchText inputSearch attendees by first or last name.
AvatarDisplayColoured circle with the attendee's initials.
NameDisplayAttendee name in "Last, First" format.
Membership StatusBadgeMEMBER (green), REGULAR_ATTENDEE (blue), or VISITOR (amber).
Check-In TimeDisplayThe time the attendee was checked in.
Remove ButtonButtonRemoves the attendance record after confirmation. Only visible to users with edit permissions.
PaginationControlsShows 50 attendees per page with page navigation.

Cross-Module Summary

Check-In MethodDisplayHow attendance was recorded: "Name search", "Headcount", "Roster", "Mixed methods", or "Manual entry" with terminal count.

Actions

Service Lifecycle Management

The lifecycle dropdown in the header allows status transitions. Available actions depend on the current status and your role:

  • SCHEDULED → ACTIVE: “Start Service” — blocked if more than 24 hours before the scheduled time; shows a warning if 2–24 hours before
  • ACTIVE → COMPLETED: “Mark Complete” — requires confirmation
  • ACTIVE → CANCELLED: “Cancel Service” — requires confirmation
  • COMPLETED → SCHEDULED: “Restore” — revert to scheduled status
  • CANCELLED → SCHEDULED: “Restore” — revert to scheduled status

Add an Attendee Manually

  1. Click the + Add Attendee button above the attendee list
  2. Search for a member by name (minimum 2 characters)
  3. Results are grouped by household for easier identification
  4. Click a member to add them to the attendance record
  5. If the member is already recorded, a notification will inform you

Remove an Attendee

  1. Hover over an attendee row to reveal the remove button
  2. Click the remove button
  3. Confirm the removal in the dialog
  4. The attendee is permanently removed from this service's attendance record

Close a Check-In Session

If check-in terminals are still open for this service, a “Close Session” button appears next to each active session in the cross-module summary area.
