Overview

The Service Calendar displays all scheduled, active, and completed services for the selected month. It supports two views — a visual month grid and a grouped list view — and provides quick actions for starting check-in, viewing service details, managing plans, and changing service lifecycle status. The calendar fetches data from the API for each month and campus combination.

Page Header

FieldTypeDescription
Month/Year TitleDisplayShows the current month, year, and the count of services scheduled for that month.
Campus FilterDropdownA local campus selector (separate from the global campus selector) that filters the calendar to a specific campus. Defaults to "All Campuses".
View ToggleTab barSwitch between Month view (calendar grid) and List view (grouped by week). Mobile devices default to list view.
Service Pattern FilterFilter chipsFilter services by pattern name (e.g., "Sunday Morning", "Wednesday Night"). Dynamically generated from the services in the current month. Resets when navigating to a different month.

Month View

FieldTypeDescription
Day CellGrid cellEach day shows a date number and coloured dots for scheduled services. Today's date is highlighted with the Gather amber accent.
Service DotIndicatorA small coloured dot per service on that day. Colour represents status: red for Live, amber for Scheduled/Check-in, green for Completed, gray for Cancelled.
Month NavigationButtonsPrevious/Next arrows and a "Today" button to jump to the current month.

List View

FieldTypeDescription
Week Group HeaderSection headerServices grouped by week (e.g., "Week of March 3 — This Week"). Labels past, current, and upcoming weeks.
Service NameDisplayThe pattern name of the service (e.g., "Sunday Morning").
Date & TimeDisplayThe formatted date and time of the service, displayed in the tenant timezone.
CampusDisplayThe campus where the service is held.
Status ChipBadgeLive (red with pulsing dot), Check-in Open (amber), Scheduled (gray border), Complete (green), Virtual (dashed border), Cancelled (strikethrough gray).
Plan BadgeBadgeShows the order of service status: "Plan Ready" (green), "Draft" (amber), or "No Plan" (gray).
AttendanceDisplayHeadcount for completed services. Shows a dash for scheduled services.
Row ActionsButtonsContext-sensitive actions based on service status. See the Actions section below.

Service Detail Drawer

FieldTypeDescription
Service TitleDisplayThe service name and date.
StatusBadgeCurrent lifecycle status of the service.
Campus & LocationDisplayThe campus name and optional location information.
Attendance CountDisplayTotal headcount for the service (if available).
NotesDisplayService-level notes (if any have been added).

Actions

Start Check-in

Click the Start Check-in button in the header to navigate to the Check-In Service Picker.

Add Service

Click the Add Service button to create an ad-hoc service. You will be taken to the Check-In Service Picker where you can create a custom session.

Generate Services (SUPER_ADMIN only)

  1. Click the Generate Services button in the header
  2. The system runs the service materialisation process, which creates service instances for the next upcoming period based on your configured service patterns
  3. A toast notification reports how many services were created and how many already existed
  4. The calendar automatically refreshes to show the new services

Row Actions by Status

  • Scheduled: “View Plan” or “Edit Plan” (if plan is in draft)
  • Active / Check-in Open: “Open Check-in” (primary) and “View Plan”
  • Completed: “View Records” and “View Plan”
  • Cancelled: No actions available

Open Service Detail Drawer

  1. Click on any service in the calendar (month grid dot or list row)
  2. A detail drawer slides in from the right showing service information
  3. If the service is a virtual (unmaterialised) pattern, clicking it will trigger materialisation first — creating the actual service instance
