Care Module

Care

The Care module is SanctuaryOS's pastoral care management system. It helps your pastoral team track, coordinate, and follow through on every care need in your congregation — from hospital visits and bereavement support to prayer requests, counseling sessions, and life milestone celebrations.

Key Features

  • Dashboard — Workload overview with KPIs, care queue, staff workload distribution, and upcoming milestones
  • Care Items — Centralized list of all care needs with list and Kanban views, filtering, and bulk assignment
  • Interaction Timeline — Every care item has a chronological timeline of notes, visits, status changes, and assignments
  • My Queue — Personal view of items assigned to you, grouped by urgency
  • Prayer Requests — Prayer wall and management view with category filtering and “I'm Praying” tracking
  • Prayer Guides — Create structured multi-day prayer and fasting plans with a public shareable link
  • Follow-Ups — Track follow-up actions with due dates, overdue detection, and completion notes
  • Hospital Visits — Manage hospital visits with urgency tracking, visit logging, and discharge follow-up
  • Bereavement — Support families through grief with phased care stages (Acute, Ongoing, Anniversary Watch)
  • Life Events — Birthdays, anniversaries, baptisms, and other milestones with greeting card tracking
  • Counseling — Pastoral counseling intake and session tracking
  • Reports — Care analytics with workload distribution, type breakdown, trends, and CSV export

Care Item Lifecycle

Every care item follows a status lifecycle:

  1. OPEN — New care need has been identified or submitted
  2. IN_PROGRESS — A care minister or pastor is actively working on it
  3. SNOOZED — Temporarily paused until a specified date (auto-wakes)
  4. RESOLVED — The care need has been addressed
  5. CLOSED — Fully closed and archived

Interaction Timeline (Not Messaging)

SanctuaryOS uses an interaction timeline model for care collaboration, not messaging threads. Each care item has a chronological feed of interactions — notes, pastoral visits, phone calls, status changes, and assignment changes. This creates an auditable, structured record of every touchpoint with the person receiving care.

Privacy Levels

Care items support three privacy levels to protect sensitive pastoral information:

  • Pastoral Confidential — Only the assigned pastor and lead pastor can view
  • Staff — Visible to all pastoral staff and care ministers
  • Prayer Team — Visible to the prayer team (and can appear on the public prayer wall)

Urgency Levels

  • Urgent — Requires immediate attention (red indicator)
  • High — High priority, should be addressed quickly
  • Medium — Standard priority (default)
  • Low — Can be addressed when time allows

Cross-Module Integration

Care items can be created automatically from other modules. The source is tracked via a “source chip” on each item:

  • From Gather — Absence alerts that escalate to pastoral care
  • From Circles — Small group leaders flagging member needs
  • From Serve — Volunteer coordinators raising concerns
  • Manual — Created directly by pastoral staff
  • System — Auto-generated by milestone scans or scheduled jobs
