Circles Module

Circles

The Circles module manages your church's small groups — from creation and membership to attendance tracking, health scoring, and leader oversight. It provides the tools pastors and group leaders need to nurture community life beyond Sunday services.

Key Features

  • Dashboard — KPIs, needs-attention alerts, upcoming meetings, and a sortable group overview at a glance
  • Groups List — Browse all groups in card or table view with filters for type, day, and health tier
  • Group Detail — Manage a single group: roster, attendance history, health breakdown, and settings
  • Group Finder — Public-facing page where visitors and members can browse and request to join groups
  • Join Requests — Inbox-style approval workflow for join requests submitted through the Group Finder
  • Attendance Records — Cross-group attendance log with date presets, status filters, and export
  • Lapsed Members — Members with 3+ consecutive absences, with urgency tiers and bulk care actions
  • Unassigned Members — Active congregation members not yet placed in any group, with AI-powered suggestions
  • Reports — Health analytics, engagement funnel, lifecycle stages, and leader performance

Health Score System

Every group receives a composite health score (0–100) calculated from three weighted factors:

  1. Attendance Rate (50% weight) — average attendance percentage over the reporting period
  2. Meeting Frequency (30% weight) — how consistently the group meets on schedule
  3. Membership Stability (20% weight) — retention rate of members over time

The score maps to three tiers:

  • GREEN (70–100) — Healthy group, no action needed
  • AMBER (45–69) — At risk, may need pastoral attention
  • RED (0–44) — Critical, requires immediate intervention

Group Types

SanctuaryOS supports a variety of group types that can be configured per tenant. Common types include:

  • Life Group
  • Bible Study
  • Prayer
  • Men's / Women's
  • Youth / Young Adult
  • Couples
  • Support / Recovery
  • Discipleship
  • Service Project

Role Access

The Circles module uses four role tiers:

  • Admin (SUPER_ADMIN, LEAD_PASTOR, PASTOR) — Full access including delete/archive
  • Editor (Admin + FLOCK_LEADER) — Create groups, manage members, review join requests
  • Editor + SGL (Editor + SMALL_GROUP_LEADER) — Take attendance, create sessions, manage own group
  • Viewer (Editor + SGL + ELDER, REPORTING_ONLY) — Read-only dashboards, reports, and group listings
