Creating Users

User accounts in SanctuaryOS represent the people who log in to administer your church's data — staff, pastors, finance team members, and volunteers. This page covers how to create, edit, and manage user accounts.

Getting Here

Navigation: Settings → People → Users

User List

The Users page displays all user accounts with their name, email, assigned roles, campus access, and last login date. Use the search bar to find users by name or email. Campus Admin users only see users at their assigned campus.

Adding a New User

  1. Click the Invite User button
  2. Enter the user's name and email address
  3. Select one or more roles from the role picker
  4. Assign campus access (which campuses this user can see)
  5. For scoped roles (Flock Leader, Small Group Leader, Team Leader, Care Minister), configure the scope assignment
  6. Click Send Invite

The user receives an email invitation with a link to set their password and complete their account setup.

User Fields

First Name*TextUser's first name. Displayed in the app header and activity logs.
Last Name*TextUser's last name.
Email*EmailLogin email address. Must be unique across the tenant. Used for password resets and notifications.
Roles*Multi-selectOne or more roles that determine the user's permissions. See the Role-Permission Matrix for details.
Campus Access*Multi-selectWhich campuses this user can access. Super Admin has all campuses automatically.
ActiveToggleWhether the user can log in. Deactivating a user preserves their data but prevents login.

Editing a User

  1. Click on a user row in the list to open their detail panel
  2. Update any fields as needed
  3. Click Save

Deactivating a User

Toggle the Active switch to deactivate a user. Deactivated users cannot log in, but their historical activity (check-ins performed, sessions entered, etc.) is preserved. You can reactivate a user at any time.

Password Reset

Admins can trigger a password reset email from the user's detail panel. The user receives an email with a secure link to set a new password. The reset link expires after 24 hours.

Scope Configuration

Some Tier 3 roles require additional scope configuration after role assignment:

  • Flock Leader — Assign which members this leader can see and manage in the Flock module
  • Small Group Leader — Assign which circle groups this leader manages
  • Team Leader — Assign which serve teams this leader manages
  • Care Minister — Assign which care ministry areas this user can access
