Onboard New Members

Flock

The Onboarding module provides a visual pipeline for tracking new members through your church’s welcome process. You configure multi-step workflows, enroll people, and advance them through stages like orientation, classes, and membership confirmation.

Prerequisites

  • SUPER_ADMIN or LEAD_PASTOR role
  • At least one onboarding workflow configured (see Step 2 below)
  • Members/visitors in the Flock directory to enroll

Step-by-Step

1. Navigate to Onboarding

  1. Open Flock from the header mega menu
  2. Click Onboarding
  3. The page shows a funnel visualization with stages and counts, filterable by quarter (e.g. Q1 2026, Q2 2026)

2. Configure a Workflow

  1. Click the Configure button to open the workflow configuration
  2. You can navigate to Flock → Onboarding → Workflows to manage all workflows
  3. Each workflow defines a series of steps with types:
    • TASK (blue) — An action the member or staff must complete, e.g. “Attend Welcome Lunch”
    • EMAIL (purple) — An automated email sent to the member at this stage
    • WAIT (amber) — A delay period before the next step, e.g. “Wait 7 days”
  4. Workflows have statuses: ACTIVE, PAUSED, COMPLETED, CANCELLED

3. Enroll a Member

  1. From the Onboarding page, click the + Enroll button
  2. A modal appears with a search field
  3. Type the member’s name (minimum 2 characters) to search the people directory
  4. Click on the correct person to enroll them
  5. They are added at the first step of the active workflow
  6. The funnel visualization updates to reflect the new enrollment

4. View Members in Each Stage

  1. Click on any stage in the funnel to load the members currently at that step
  2. Each member shows:
    • Name and membership status badge (Member, Regular, Visitor)
    • Days in the current stage (colour-coded: green for on-track, amber for 14+ days, red for 30+ days or stalled)
  3. Use the Show Stalled toggle to filter for members who have been stuck at a stage too long

5. Advance Through Stages

  1. Click on a member to see their enrollment details
  2. Click Advance to move them to the next step in the workflow
  3. Other actions available:
    • Pause — Temporarily halt progress (e.g. member travelling)
    • Resume — Continue a paused enrollment
    • Cancel — Remove from the onboarding pipeline entirely

6. Email Members at a Stage

  1. Click the Email Stage button to send a communication to all members currently at the selected step
  2. Enter the Subject and Body of the email
  3. Click Send to deliver to all members at that stage
