Manage Pledge Campaigns

Steward

This guide walks you through creating a pledge campaign in Steward, assigning pledges to donors, tracking progress toward your goal, and linking campaigns to online giving pages. Pledge campaigns are ideal for building funds, missions drives, and capital projects.

Prerequisites

  • At least one Fund configured in Settings → Finance → Funds (the campaign is linked to a specific fund)
  • Donors should already exist in Flock to assign individual pledges
  • SUPER_ADMIN or FINANCE_ADMIN role

Phase 1 — Create a Pledge Campaign

  1. Navigate to Steward → Pledges
  2. Click “New Campaign”
  3. Fill in the campaign details:
    • Campaign Name — e.g., “2026 Building Fund Drive” or “Missions Trip Support”
    • Fund — select the fund that donations against this campaign will be credited to
    • Goal Amount — the target dollar amount (optional but recommended for progress tracking)
    • Start Date — when the campaign begins (defaults to today)
    • End Date — when the campaign ends (leave blank for open-ended campaigns)
    • Description — a short description (appears on linked giving pages)
  4. Click “Create”
  5. You are redirected to the campaign detail page

Phase 2 — Assign Pledges to Donors

  1. On the campaign detail page, click “Add Pledge”
  2. Search for a donor by name or envelope number
  3. Enter the pledge details:
    • Pledge Amount — the total amount the donor commits to give
    • Frequency — how they plan to give (one-time, weekly, monthly, etc.)
  4. Click “Save”
  5. Repeat for each donor who has made a pledge commitment

Phase 3 — Track Campaign Progress

  1. Navigate to Steward → Pledges
  2. The campaigns list shows key metrics for each campaign:
    • Goal — the target amount
    • Pledged — total amount pledged by all donors
    • Received — total amount actually given so far
    • Pledge Count — number of individual pledges
    • Average Pledge — mean pledge amount
    • Weeks Remaining — time left until the end date
    • Status:
      • On Track (green) — giving pace is on or ahead of schedule
      • Behind (amber) — giving pace is below expected
      • Completed (blue) — campaign has ended or goal reached
      • Lapsed (grey) — campaign ended without reaching the goal
  3. Click a campaign to drill into individual pledge fulfilment status

Phase 4 — Link to an Online Giving Page

You can create a dedicated online giving page for the campaign so members can give directly toward the pledge goal.

  1. Navigate to Steward → Giving Pages
  2. Click “New Giving Page”
  3. Link the page to the pledge campaign — select the campaign from the dropdown
  4. The giving page will display a progress bar showing how much has been raised toward the goal
  5. Share the page URL with your congregation

Phase 5 — Generate Pledge Reports

  1. From the Pledges page, use the Export button to download a CSV report
  2. The export includes:
    • Campaign name, goal, pledged total, received total
    • Pledge count, average pledge
    • Status and weeks remaining
    • Start and end dates
  3. Use this for board reports and financial reviews
