FlockThis guide walks you through creating and sending an email campaign from the Flock module. You will navigate to Campaigns, create a new campaign, select your recipients, compose your message, and send or schedule it for delivery.
Prerequisites
- Members should have email addresses in their Flock profiles
- Members with Do Not Contact set to TRUE are automatically excluded
- SUPER_ADMIN or LEAD_PASTOR role
Phase 1 — Create the Campaign
- Navigate to Flock → Campaigns
- Click “New Campaign”
- Fill in the basic details:
- Campaign Name — an internal name for tracking (e.g., “Easter Service Invite 2026”, “Weekly Update Mar 30”)
- Channel — select Email (SMS is also available for text campaigns)
- Segment — choose the recipient group (see Phase 2 below)
- Click “Create”
- The campaign is created in DRAFT status
Phase 2 — Select Recipients
Recipients are selected using segments — predefined or custom groups of members.
- Choose a segment for the campaign:
- All Members — everyone with an email address
- By Membership Status — e.g., only “Active Members”
- By Campus — members at a specific campus
- By Tag — members with specific tags (e.g., “Young Adults”, “Newcomers”)
- Custom List — manually select individual recipients
- The recipient count updates to show how many people will receive the campaign
Phase 3 — Compose the Email
- Open the campaign (click its name in the list or navigate to the detail page after creation)
- Design your email:
- Subject Line — the email subject (keep it concise and compelling)
- Body — compose the email content using the editor
- You can include personalisation tokens like the member's first name
- Preview the email to check formatting and content
Phase 4 — Send or Schedule
- Choose when to send:
- Send Now — immediately queues the campaign for delivery
- Schedule — set a future date and time for automatic delivery
- If scheduling, select the date and time, then click “Schedule”
- The campaign status changes to SCHEDULED (blue badge)
- If sending now, click “Send” and confirm
- After delivery, the status changes to SENT (green badge)
Phase 5 — Review Results
- Navigate to Flock → Campaigns
- Sent campaigns show delivery metrics:
- Delivered — number of emails successfully delivered
- Opened — number of recipients who opened the email
- Clicked — number who clicked a link in the email
- Bounced — emails that could not be delivered (invalid addresses)
- Use the campaign statuses to filter your list:
- DRAFT — not yet sent (grey)
- SCHEDULED — queued for future delivery (blue)
- SENT — delivered (green)
- CANCELLED / FAILED — did not deliver (red)
